Position Summary
The Office Manager supports the daily operations of the company by overseeing administrative functions, assisting with department duties, and ensuring smooth business flow. This role requires strong organizational abilities, accuracy in financial tasks, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative & Office Operations
- Manage day-to-day office functions, including phones, email, mail, supplies, and filing.
- Maintain accurate electronic and physical personnel files.
- Assist with scheduling appointments and support department planning.
- Liaison with building management on day-to-day tenant requests/issues.
Customer Service
- Serve as the main point of contact for in-person office traffic.
- Manage inbound inquiries and direct to appropriate team members.
- Support vendor and client relationships when needed.
Financial & Human Resources Support
- Review weekly time and process payroll and payroll taxes filings.
- Oversee accounts payable invoice traffic using automation software to ensure proper coding/approvals.
- Liaison with outside HR consultants for hiring/onboarding, employee relations, resignations/terminations.
- Maintain HR hiring/onboarding software and personnel files; assist with compliance when needed.
Scheduling & Operations Support
- Coordinate office and field meetings, including safety meetings, training sessions and internal communication.
- Maintain Office Supplies
- Manage Personal Protection Equipment & Office/Site access
- Manage fleet document files and required maintenance logs, fuel usage records, etc
Qualifications
- 2–5 years of office management or administrative experience (construction or trades industry preferred).
- 2-5 year accounting experience plus
- Strong customer service and communication skills.
- Proficiency in office software (Microsoft Office, Excel); experience with Deltek Computer Ease is not required, but a plus
- Strong organizational skills with the ability to multitask and prioritize.
- Bilingual (English – Spanish) strongly preferred.
